This is a full-time non-exempt position which includes the following responsibilities:
Front Office & Administrative Support
- Welcome, assist, and direct visitors and parishioners in a warm, professional manner
- Answer incoming phone calls, route calls appropriately, and take accurate messages
- Receive packages and deliveries; notify staff and coordinate UPS/FedEx pickups
- Respond to general mail and email inquiries within 24 hours
- Distribute and sort incoming and outgoing mail
- Provide administrative support to parish staff as needed
- Participate in staff meetings, office workshops, and trainings
Financial & Records Management
- Safeguard, record, and track the distribution of gift cards for outreach clients
- Record and process deposit payments upon receipt
- Manage Mass intentions, scheduling, recordkeeping, and sending Mass cards
- Maintain organized digital filing systems for parish documents and records
- Manage key checkout system for volunteers requiring access to parish facilities
Sacraments & Pastoral Support
- Coordinate reception and scheduling of pastoral visits, anointings, confessions, and related services
- Baptisms:
- Respond to inquiries
- Coordinate baptism classes and ceremonies with Fr. Michael
- Collect required documentation
- Create and archive baptismal certificates
- Funerals:
- Take initial calls
- Coordinate dates and times with clergy and parish team
- Gather information and prepare sacramental records for the parish archive
- Weddings:
- Receive inquiries and delegate to clergy
- Schedule dates and times on parish calendar
- Assist with documentation including certificates, tribunal paperwork, dispensations
- Prepare and archive certificates with timely notifications
Parish Communications & Media
- Design, layout, and produce weekly parish bulletins on deadline
- Design and produce seasonal advertisements for local newspapers and the annual parish calendar
- Coordinate production with external vendors
- Update and maintain the parish website
- Create forms, worship aids, brochures, flyers, prayer guides, signage, and materials for parish programs and events
- Assist with building and sending weekly church e-blasts
Events & Ministry Support
- Assist with parish events and seasonal programs
- Support RCIA materials copies and forms
- Manage logistics and volunteers for seasonal bulk mailing
Other duties as assigned
Qualifications:
●Commitment to the mission and values of the Catholic Church
●2+ years of office or administrative experience (church, nonprofit, or service-oriented)
●Proactive and reliable with the ability to collaborate with both staff and volunteers.
●Strong verbal and written communication skills.
●Available to work full-time Monday through Friday, and occasiionally on weekends, as needed
●Ability to manage phones, emails, scheduling, and records professionally
●Basic data entry and record-keeping skills
●Ability to handle confidential and sensitive information with discretion
●Computer skills: Microsoft Office, Google Suite, Outlook, Canva, ParishSOFT, Constant Contact

Salary range:
- Based on experience and education, the salary range is $24.00 – $30.00 per hour.
Language Skills:
Proficient in spoken and written English. Ability to follow directions, and learn all policies, procedures, and operational standards. Ability to effectively present information and respond to questions from the supervisor, staff, parishioners, and the public.
