Reporting to the Chief Financial Officer, and indirectly to the Controller who has oversight of all accounting, tax reporting and compliance, the AP Accountant is responsible for all Accounts Payable functions and duties and selected reconciliations and account receivable duties.
Key Responsibilities:
Accounts Payable:
- Responsible for all aspects of Accounts Payable
- Gather and verify all paperwork and signed purchase orders/approved invoices; communicate as necessary with vendors, faculty and staff, prepare payments via checks or Bill Pay, ensure bills are paid in timely fashion.
- Maintain vendor files (both electronic and physical) including current W-9s, e-filing of contracts and insurance certificates from vendors and event participants.
- Issue 1099 forms to appropriate vendors and IRS at the end of the
- Perform expense distribution calculations as required for invoices with 2 or more
- Prepare batch disbursements for payment release and complete posting in
- Respond to inquiries, give appropriate directions and provide customer service to those visiting the Business office.
- Responsible for Use tax control and Sales & Use tax
- Perform credit card reconciliation, check accounting codes, approvals and all policy requirements are complete in Record all credit card transactions in Financial Edge. Serve as card admin on RAMP for all requests relating to disputes, limits, exceptions to policies, co-pilots etc.
- Manage and disburse Petty
- Manage the postage meter and shredding service
- Prepare business property tax return 571L
Other Business Office Duties:
- Record Fixed assets in the fixed assets
- Prepare reconciliations, analysis and audit schedules as requested by the
- Draft adjusting and correcting journal entries identified through the reconciliation
- Maintain separate check log for deposits received as well as for
- Prepare paperwork for incident
- Perform all other duties as necessary
Qualifications

- Bachelor’s degree in Accounting, Finance, Business Administration, or related field; (e.g., minimum of 3-5 years of experience in Accounts Payable, preferably within an educational or non-profit environment.

- Excellent written and verbal communication skills; possess exceptional interpersonal skills with the ability to handle sensitive information confidentially.
- Proficient in database and payment systems like RAMP; high level of proficiency in Excel and Google apps. Experience with Blackbaud financial management software is strongly
