The mission of the Catholic Archdiocese of Washington is to spread the light of the Gospel of Jesus Christ to the world. In the faithful pursuit of this mission, the Archdiocese is seeking an Administrative Assistant for the Office of the Clergy.
This position will provide exceptional administrative support to the Secretary for Ministerial Leadership/Vicar for Clergy. The Administrative Assistant will handle a diverse set of administrative tasks including assisting active and retirement priests, arranging meetings, and responding to correspondence for the Office of the Clergy. The ability to multi-task, focus on detail and maintain confidentiality is essential.
Duties & Responsibilities
- Provide high-level administrative support to the Office of the Clergy and Ministerial Leadership including greeting visitors, answering calls, distributing daily mail and drafting correspondence.
- Manage schedule, meetings and travel for the Vicar for Clergy.
- Respond to emails on behalf of the Vicar for Clergy, as appropriate.
- Review, draft and edit letters, reports, and memos.
- Work closely with Pastoral Center leadership (Office of the Curia, Archbishop and Auxiliary Bishops).
- Work on confidential files (Priest location changes, confidential issues, etc)
- Attend meetings as required to provide administrative support, note taking, and ensure follow-up tasks are completed.
- Maintain database of archdiocesan and extern clergy; update as needed.
- Organize letters of suitability and submit them
- Prepare and submit check requests as needed.
- Assist Clergy Office in arranging funeral plans for clergy
- Assure that all priests are in compliance with the Safe Environment Policy of the Archdiocese of Washington.
- Support other offices that fall under Ministerial Leadership as requested.
- Assure that all priests working, living or volunteering in a parish have required faculties to exercise ministry in the ADW.
- Organize three events each year for clergy office; Cardinal’s Epiphany Dinner for Priests; Jubilee Mass and Dinner and Mass for deceased Priest.
Qualifications
Knowledge, Skills and Abilities
- Excellent written and oral communication skills.
- Deep faith and true love for the Church and Priestly service.
- Proficiency in suite of Microsoft Office tools: Excel, Word, Outlook, PowerPoint and Access
- Effective team player with strong interpersonal, communication, and customer service skills.
- Able to multitask well to update files and priest changes
- Strong leadership ability and proven ability to manage others.
- Ability to handle multiple tasks under time sensitive deadlines.
- Ability to handle confidential and sensitive information with poise and discretion.
Required Education and Experience
- Must be a practicing Catholic in good standing and supports the teachings of the Catholic Church.
- Bachelor’s Degree in English, journalism, business administration, or related field
- Accurate filing ability is a must.
- Five or more years of experience in an executive administrative role; or an equivalent combination of education/experience required.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets.

Position Type/Expected Hours of Work
Regular full-time employee (40 hours/week) occasional weekend
The pay rate range for this role is: $25.00 to $35.00 per hour with outstanding benefits
