FLSA Status: Regular, Non-exempt 26-28 hours per week
GENERAL DESCRIPTION
The Operations Manager II assists the pastor in the stewardship of the physical, financial and personnel resources of the parish, in accordance with the Archdiocesan policies and guidelines. The Operations Manager II is a person of faith committed to Gospel values. He or she values the organization and responsible management of resources and helps the church fulfill its mission and purposes.
ESSENTIAL FUNCTIONS:
Financial Management
●Manages and oversees the financial operations, ensuring compliance with Archdiocesan policies & procedures. This includes, but is not limited to, bookkeeping, banking and payroll functions.
●Ensures established internal accounting controls are followed to safeguard parish assets and maintain the accuracy and integrity of parish financial records.
●Coordinates the budget process in collaboration with the Pastor, staff and Finance Council. Administers and monitors parish budget and identifies/reports any significant variances to the Pastor and Finance Council.
●Prepares monthly, quarterly and year-end financial reports for the Pastor, Finance Council and the Archdiocese of San Francisco using Quickbooks.
●Maintains an accurate filing, record-keeping and reporting system for all parish financial matters.
●Serves as primary contact on parish bank and credit accounts. Reconciles monthly bank accounts.
●Maintains compliance with proper handling of donor information in online payment systems.
Human Resources Management
●With the Pastor and Archdiocesan HR department, handles all personnel issues including: developing job descriptions, recruiting, onboarding, terminating and managing personnel records.
●Supervises office staff, ensures a positive professional work environment, and provides input for staff evaluations.
●Informs and enrolls employees in benefits when eligible.
●Manages Payroll processes for the Parish in accordance with Archdiocesan policies and procedures using the Paylocity system.
●Administers appropriate procedures for tracking attendance, vacation, sick leave, other leaves of absences (FMLA, California Medical Leave Act) in accord with government regulations and Archdiocesan requirements.
●Maintains appropriate confidentiality and discretion in all areas of responsibility Establishes scope of responsibilities and supervises parish volunteers.
●Administers employee policies and programs, staff training, including VIRTUS administration, Livescanning, Workplace Violence Prevention Program Ensures compliance with all applicable Federal, State and local employment laws including the regulations regarding the exempt/non-exempt status and related overtime rules.
Communications and Systems
●Prepares Weekly Bulletins and other printed materials.
●Manages parish-wide email announcements via Flocknote.
●Acts as Administrator of staff Google Workspace and parish database.
●Oversees management of the parish website and Facebook page.
Property Management
●Coordinates, facilitates, and supervises operation and maintenance of parish buildings, grounds, and equipment.
●Oversees use of all facilities, and manages parish calendar.
●Responsible for parish security, leasing, rental, use of parish facilities and acts as a liaison to the local government agencies.
●Researches vendors and negotiates contracts with suppliers.
●Purchases supplies, furniture and equipment for the parish. Negotiates bids and contracts for renovation, maintenance projects, and capital projects in accordance with Archdiocesan policies.
●Coordinates all matters regarding liability, insurance, and safety in the parish.
Additional Job Functions
●Maintains a master calendar for the parish.
●Identifies volunteers and opportunities for parish community connections.
●Acts as staff liaison on parish social or fundraising events.
●Interacts with the Preschool Director on financial, operational and personnel matters.
●Serves as staff liaison to the parish Finance Council, Pastoral Council, and Fundraising Committee.
●Performs other job-related duties as assigned by the pastor
QUALIFICATIONS :
●Working knowledge of accounting principles and practices
●Ability and experience in hiring, supervising and coaching employees and volunteers
●Excellent communication and interpersonal skills
●Ability to plan, organize, set schedules, prioritize tasks, and work with other members of the staff in a collegial and collaborative manner
●Working knowledge of computer software applications, including spreadsheets, word processing and database programs, and the ability to learn new software.
●Knowledgeable of safety and security regulations
●Ability to delegate responsibilities and empower others
●Ability to plan and facilitate meetings
EDUCATION:
●Bachelor’s degree in business administration, finance, or equivalent, relevant work experience.
●Writing and communication proficiency in English.
●Active practicing Roman Catholic who is familiar with Catholic doctrine and supports the teachings and traditions of the Roman Catholic Church.
PHYSICAL REQUIREMENTS:
Ability to sit, walk, stand, and climb stairs, alternating as needed and sometimes for prolonged periods of time. Must be able to bend, pull, and also each above shoulder level. Must be able to lift 25 lbs.
PAY RANGE: $38-45 per hour
