Xavier Catholic Schools seeks a relationship-driven Advancement Officer to advance our mission through strategic donor engagement and alumni connection. The Advancement Officer is responsible for managing a portfolio of leadership and annual donors, including qualification, cultivation, solicitation, and stewardship. The position also plays an integral role in the strategy and engagement for affinity groups—such as alumni or stakeholder associations—as a component of the organization’s broader donor engagement strategy.

Duties and Responsibilities:

- Donor Portfolio Management (Leadership and Annual Donors)
- Maintain and manage a portfolio of leadership and annual donors.
- Develop and implement individualized cultivation, solicitation, and stewardship strategies for each donor that aligns donor interests with Xavier’s mission.
- Conduct donor meetings, personalized outreach, and make direct solicitations for leadership and annual gifts.
- Document all donor interactions within CRM and use reporting to drive strategy.
- Meet annual revenue and activity goals.
- Affinity Groups & Stakeholder Engagement Strategy
- Lead the development and management of key stakeholder affinity groups.
- Build pipelines connecting affinity groups to philanthropic engagement.
- Develop communication strategies and engagement calendars.
- Serve as liaison to volunteer leaders and support committees.
- Coordinate with marketing/communications on group-specific content.
- Stewardship, Cultivation, and Collaboration
- Design and implement stewardship and cultivation plans to retain donors and increase satisfaction.
- Work closely with the Advancement team to align leadership and annual gift strategies with overall fundraising goals and institutional priorities.
- Assist with the annual appeal, including outreach, follow-up, and donor stewardship.
- Demonstrate proficiencies in the use of technology including hardware, software and applications.
- A minimum of a bachelor’s degree is preferred
Specific Requirements
- 5–7+ years of fundraising experience in leadership and annual giving or sales and relationship-based roles.
- Strong relationship-building and communication skills.
- Experience with volunteer or affinity group leadership.
- Strong organizational skills and ability to manage multiple priorities.
- Ability to work collaboratively.
- Proficiency with donor CRM systems.
Preferred Qualifications
- Demonstrated success managing donor portfolios and securing gifts.
- Experience developing donor pipeline or affinity group strategy.
- Campaign or strategic advancement experience.
- Experience with donor-cultivation and solicitation best practices.
- Knowledge of the Xavier Catholic Schools community and/or the Fox Valley community.
- Familiarity with Catholic education or mission-based organizations.
