Position Summary:
The Assistant Director of Admissions supports the Director of Admissions in recruiting, enrolling, and retaining students while advancing the mission and Lasallian values of West Catholic Preparatory High School. This position serves as a key member of the Admissions Office by providing exceptional customer service, coordinating admissions events, managing applicant records, building relationships with prospective families and partner schools, and assisting with enrollment initiatives to achieve the school’s strategic enrollment goals.
Essential Responsibilities
Admissions & Enrollment- Request transcripts, report cards, attendance, conduct records, and standardized test scores from sending schools.
- Update and maintain accurate applicant records in SchoolAdmin.
- Monitor application completion and communicate next steps with families.
- Recruit, train, and coordinate Student Ambassadors for admissions events and campus visits.
- Create, organize, and maintain student admissions files and documentation.
- Assist with processing admissions applications from inquiry through enrollment.
- Follow up with applicants and families regarding missing admissions documents.
Recruitment & Outreach- Schedule and coordinate student shadow days (Burr for a Day).
- Coordinate and conduct campus tours for prospective students and families (Wednesdays at West)
- Build and maintain positive relationships with feeder schools and community organizations.
- Visit elementary and middle schools to recruit prospective students.
- Represent West Catholic at high school fairs, parish events, and community recruitment programs.
- Promote West Catholic through outreach initiatives and recruitment events.
Admissions Events- Assist in planning, organizing, and executing admissions events, including:
- Open House
- Accepted Students Night
- Shadow Days
- Family Tours
- Information Sessions
- Recruitment Events
Communication & Customer Service- Provide exceptional customer service while guiding families through the enrollment process.
- Respond promptly to phone calls, emails, and admissions inquiries.
- Serve as a primary point of contact for prospective students and families.
- Maintain timely and professional communication throughout the admissions process.
Marketing & Recruitment Support- Promote the mission, academic programs, extracurricular activities, and Lasallian tradition of West Catholic
- Assist with admissions marketing initiatives.
- Support recruitment campaigns designed to increase enrollment.
Qualifications- Bachelor's degree required; Master's degree preferred.
- Experience in admissions, enrollment management, education, or a related field preferred.
- Must possess a valid driver’s license, reliable transportation, and the ability to travel throughout the city to visit feeder schools, attend recruitment events, and represent West Catholic within the community.
- Strong organizational, interpersonal, and communication skills.
- Excellent customer service and relationship-building abilities.
- Ability to manage multiple priorities while meeting deadlines.
- Proficiency with Microsoft Office, Google Workspace, and student information systems
- SchoolAdmin experience preferred.
- Bilingual English/Spanish speaker preferred.
- Ability to work occasional evenings and weekends for admissions events.
