Job Description:
Catholic Campus Ministry at SMU, a ministry of the Roman Catholic Diocese of Dallas, seeks a part-time receptionist whose primary responsibilities involve creating a welcoming environment for all students, visitors, and staff at the Neuhoff Catholic Student Center and supporting the ministry with assigned administrative, operational, and communications tasks.
As the first point of contact for visitors, the receptionist must be courteous and professional while demonstrating excellent interpersonal, organizational, and multi- tasking skills. This is the perfect job for a friendly individual who genuinely enjoys helping college students and who can manage tasks from start to finish with attention to detail in a fast-paced environment.
Essential Duties and Responsibilities:
– Assistance with General Ministry Administration
– Greets visitors and answers main telephone line; determines the purpose and directs/responds/handles accordingly.
– Opens, organizes, and disseminates mail.
– Performs administrative and clerical tasks to support staff and students, as needed.
– Oversees inventory and purchases to maintain supplies for kitchen, office, and liturgical needs.
– Performs basic filing and recordkeeping, primarily to support facility operations and accounting.
– Oversees the courier pickup of the Ministries deposits.
Assistance with Facility Operations
– Oversees the timely opening each weekday preparing the Catholic Center for the day ensuring general cleanliness, adequate supplies, and hospitality setting.
– Regularly monitors during the work shift the general cleanliness/aesthetics of 1st and 3rd floor including community room, kitchen, restrooms, and meeting rooms.
– Coordinates with the scheduling and oversight of contracted services to perform maintenance (i.e., pest control, HVAC maintenance, landscaping, janitorial, etc.).
– Monitor activity within the building and advise Business Manager in the event of security related or repair/maintenance related issues.
– Ensures the Baptismal bowel is cleaned weekly, along with the collection/restocking of the liturgical linens.
Assistance with Liturgical Administration
– Records Mass intentions/Mass celebrants and prepares monthly Mass stipends.
– Completes weekly, monthly, and annual liturgical tasks in preparation for Sunday Mass: Volunteer signups, Mass announcements, linens, supply box, campus parking reservations, etc.
Responsible for all other projects and tasks as assigned.

Job Requirements
Skills, Knowledge, & Abilities:
– Practicing Catholic in good standing. Ability to project a faith-filled presence.
– Knowledge of Catholic campus ministry or youth ministry is helpful.
– Excellent oral and written communication skills.
– Strong interpersonal skills while interacting with students, donors, visitors, and maintenance contractors.
– Ability to work independently in a visible, busy environment.
– Knowledge of work contracts and purchasing guidelines.
– Strong organizing skills and ability to multi-task.
– Maintain professional appearance and project friendly demeanor.
– Dependable and flexible regarding work schedule.
Education and Experience
– Bachelor’s degree preferred, High School graduate or equivalent required.
– Two to four years’ experience as a Receptionist or Administrative Assistant in an office or college/school campus setting preferred.
– Experience with software programs including Microsoft Outlook, Word, and Excel required.
Special Requirements:
Must be prompt and able to work five days a week (Monday-Friday) from 8:45AM to 1PM.
