The Student Information Administrator facilitates the daily operational flow of St. Mary’s Elementary School in Annapolis by managing student information processes, coordinating attendance and grade reporting within the MyStMary’s Student Information System, and supporting front office operations as needed. The position’s hours are 7:15 p.m. – 3:15 p.m., Monday through Friday.
This role collaborates closely with the Principal, the administrative team, and the Technology Department to ensure the accurate management of student data, efficient information flow, and consistent communication across the school community. The position requires strong organizational skills, attention to detail, sound judgment in maintaining confidentiality, and a welcoming, service-oriented approach when interacting with students, families, faculty, and visitors.
Essential Functions
Student Information Systems & Grade Reporting
● Serve as the elementary school MyStMary’s site information administrator, facilitating the effective use of the system by teachers, parents, and students.
● Provide guidance and support to parents regarding the MyStMary’s Learning Management System and student information portal.
● Manage and coordinate the student grade reporting process, ensuring accuracy and timely completion.
● Develop and oversee the report card and interim reporting schedule, ensuring alignment with school timelines.
● Prepare, format, and coordinate report cards and interim reports for printing and distribution.
● Facilitate orientation and training for new teachers on grade reporting procedures within MyStMary’s.
● Assist with the preparation, verification, and distribution of student transcripts as requested.
● Collaborate with the Technology Department to address system needs, troubleshoot issues, and implement updates related to student information processes.
Attendance & Student Records Management
● Manage and distribute the daily attendance report to teachers by 9:00 AM.
● Utilize MyStMary’s to record, verify, and maintain accurate student attendance data, including late arrivals and early dismissals from the main office or health room.
● Initiate and complete daily absentee verification calls for students whose absences have not been reported by parents or guardians.
● Facilitate the creation and organization of cumulative student files for newly enrolled students.
● Maintain and safeguard confidential student and personnel records in accordance with school and Archdiocesan policies.
Front Office & Operational Support
● Provide secondary front office support, including greeting visitors, managing late arrivals and early dismissals, and facilitating visitor check-in procedures through the school’s safety and visitor management system.
● Coordinate with front office personnel to ensure consistent operational coverage during peak times, staff absences, and special events.
● Assist administration with logistical coordination and operational preparation for major school events, including reports, materials, and communications.
● Support administrative initiatives and assume additional responsibilities—either temporary or ongoing—as assigned by the Principal.
School Communications & Publications
● Prepare and distribute administrative correspondence on behalf of the Principal and members of the administrative team.
● Coordinate, edit, and publish the weekly “Blast” communication to the parent community following administrative review.
● Manage updates to the St. Mary’s Elementary School website, ensuring content remains current, accurate, and aligned with school messaging in collaboration with administration and the Technology Department.
● Coordinate and facilitate state family income surveys, ensuring accurate collection and reporting of required information.
Position Qualifications
· Bachelor’s degree
· Minimum of one year of experience in a professional office setting
· Ability to manage multiple priorities in a fast-paced school environment
· Strong interpersonal and customer service skills when working with families, students, and faculty
Pay Range: $45,000, Annualized
