St. Margaret Parish, located in Bel Air, MD, seeks candidates for a Faith Formation Administrative Assistant. In this role, the candidate will provide a wide range of clerical and administrative support to the Director of Faith Formation (DFF) and the Parish office. The person will interface with all members of the Faith Formation Team and Parents. This is a full-time staff position. The Faith Formation Administrative Assistant reports to the Pastor, DFF, Business Manager or designee.
Essential Functions
- Coordinate all aspects of Faith Formation program registration:
- Process registrations for Family Faith Formation programs, Sacraments of First Reconciliation and First Eucharist, Vacation Bible Camp, and handle questions/issues.
- Input required member information into the parish “Ministry Platform” database system in a timely fashion.
- Place individuals in preferred session time with regard to family preference and to accommodate each family as session sizes and faith formation leader availability allows.
- Communicate with families to indicate session location and catechist information.
- Keep participant’s medical information updated as provided on registration form.
- Prepare book orders for both catechetical and Family Life curriculum, and Sacrament Prep programs, as well as session materials and supplies (including technology requirements).
- Manage all documentation and records: session fees, registration, financial, including sacramental fees, archives, etc.
- Compile session participation information and assist with catechist and substitute session lists.
- Attend all Faith Formation sessions with DFF and assist as needed.
Coordinate Sacraments of First Reconciliation, First Eucharist, and Confirmation.
- Update sacramental records in the appropriate registries as they are received, to include the “Ministry Platform” database for the recording of such events.
- Assist DFF with Sacrament sessions.
Support for Vacation Bible Camp
- Perform data entry and tracking for all activities to include preparation of Diocesan/parish permission and waiver forms.
- Assist in website presence, including announcements, calendar, and forms.
- Maintain a list/database of qualified ministry volunteers for quick reference of those who are Virtus qualified ensuring that all records are properly maintained.
- Manage calendars for all activities.
- Assist VBC Director with set-up and take-down of décor before and after the week of camp.
- Assist VBC Director everyday during the week of camp.
Finances and Budget
- Collect, record and track payment details for all programs and events.
- Prepare payment documentation for the Bookkeeper who will make the actual deposit of funds, including obtaining appropriate signature for each process including check requests and disbursements.
- Communicate with families regarding payment due dates and handle requests for financial assistance.
Position Qualifications
- Minimum of a high school diploma or equivalent.
- The ability to speak, read, and write clear English is required.
- Must be a Practicing Catholic.
- Written and verbal communication in Spanish is a plus.
- Excellent communication and interpersonal skills.
- Excellent discretion and judgment to serve all who seek assistance and to maintain appropriate confidentiality.
- Must be able to work collaboratively with clergy, staff, and volunteers as well as effectively prioritize tasks and meet timelines.
- Computer competency in Microsoft Office and ability to learn parish-specific database systems.
- General knowledge of the Catholic Church is preferred.
- Must model Christian attitudes and behaviors and adhere to the Archdiocesan Code of Conduct.
Pay Range: $18.00 - $19.00, Hourly
