Administrative Assistant
Reports to: Director of Faith Formation
Part time: (20-24 hours per week)
FLSA: Hourly Non-Exempt
General Summary: The Administrative Assistant provides clerical and administrative assistance to the Director of Faith Formation.
Duties And Responsibilities
- Maintain all sacramental records in the Parish sacramental registers and ParishSoft.
- Prepare sacramental certificates and fulfill outside requests for sacramental certificates.
- Coordinate and maintain office record keeping system for the department, including, but not limited to, Parish Religious Education Program, Sacramental Preparation, Catechists and Volunteers, Catechetical workshops and events, etc.
- Prepare weekly catechists’ materials as needed.
- Fulfill instruction of the Director of Faith Formation including, but not limited to, family mailings, and event material preparation.
- Attend and assist the Wednesday evening Children’s Faith Formation Program, Sacramental Preparation workshops, retreats and Vacation Bible School (VBS).
- Work collaboratively with the Director of Faith Formation to plan and evaluate current and future events.
- Available to work evenings and weekends as needed.
- Minimal travel may be required.
Knowledge, Skills, Abilities
- Knowledge of Microsoft Word, Publisher and Excel.
- Be able to set priorities and organize work effectively.
- Possess excellent communication and people skills.
- Be an active member of a Roman Catholic faith community.
- Honor and maintain confidentiality.
Language Skills
Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees, and the public.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
